NEM 2017 TERMS AND CONDITIONS

GENERAL TERMS AND CONDITIONS OF PARTICIPATION AND EXHIBITING AT NEW EUROPE MARKET 2017

  1. General terms and conditions

General terms and conditions of participation and exhibiting (hereinafter “General Terms”) shall mean rules which regulate the business relations between the Organizer of and Participants of NEW EUROPE MARKET 2017.

NEW EUROPE MARKET  2017“ or “NEM 2017“ shall mean a conference and market event which is organized for the purpose of collecting and exchanging information, knowledge, experience and results achieved in the field of television, media, production, communications, marketing and public relations, IPTV, cable distribution, mobile distribution, licencing, and related activities (hereinafter “the Event”),
ORGANIZER shall mean MEDIAVISION Ltd. from Zagreb, Radnička cesta 50, VAT ID: HR14163384736, which is the organizer of the Event (hereinafter “the Organizer”),
PARTICIPANTS shall mean persons and entities who have paid their registration fees, Exhibitors, lecturers, sponsors, and media sponsorship representatives,
EXHIBITORS shall mean persons and entities who have entered into an Agreement on Exhibition Area Rental (hereinafter “Exhibitors”),

The registration fee shall be dependent on the date of the payment and correspond to the rates described in these General Terms and Conditions and listed at the Organizer’s web site at  www.neweumarket.com.

  1. Registration and Confirmation of Registration
  2. Persons or entities who wish to participate at the Event need to fill out the entry form available at the Organizer’s web site at www.neweumarket.com, tab “Registration “.
    NEM 2017 entry fees are defined on the basis of one person or one entity participation, and cover three days of participation at the Event, including all networking opportunities (such as coffee breaks, happy hours and parties).
    Early Bird registration fees are special fees applicable for payments made before December 15th , 2016.
    First Minute registration fees are special fees applicable for payments made between December 16st, 2016 and March 15th, 2017.

All payments made on and after March 15th, 2017 will be calculated on the basis of the full and regular registration fee:

EARLY BIRD – until December 15th, 2016 – 350.00€
FIRST MINUTE – until March 15th, 2017 – 450.00€
REGULAR – from March 16th, 2017 – 550.00€

Paid registration fees may be transferred to another person by sending a notification by e-mail to registration@neweumarket.com before 15th May 2017. After 15th May 2017 an administrative fee of 380 HRK (or 50 € for payments made from countries other than Croatia) will be charged for any change of registration. In the case of cancellation of a registration which has been paid for in full, if the entry is cancelled before 15th May 2017, the Organizer is entitled to a reduction in the entry refund of 380 HRK (or 50 € for payments made from countries other than Croatia). In the case of cancellation, no refunds will be possible in case of registration cancelled after 15th May 2017. Any obligations outstanding at the time of cancellation and/or change of registration must be paid in full before June 10th, 2017. By effecting the full payment of their registration fees, participants are entitled to an accreditation which will enable them to take part in the Event.

This accreditation shall become valid on the first day and remain valid until the last day of the Event, and it will concern only the person in whose name the accreditation has been made.

Any unauthorised use of accreditation is forbidden.

If an accreditation card has been used in an unauthorised manner, the accrediation card shall be seized and its holder requested to leave the Event premises.

Attending any area of the NEM event without authorized accreditation will not be tolerated.

  1. Potential exhibitors who wish to apply for a stand, should do so by contacting e-mail registration@neweumarket.com.
    The Organizer reserves the right to reject any registration if the goods, products or services to be exhibited are not in line with the content and level of the exhibition, or for any other reason of similar importance, or if the requested exhibition area has been sold out.
  2. Participation

The Organizer shall ensure that the Event will take place in Dubrovnik, Croatia in the period between June 12thand 15th  2017.
The Organizer reserves the right to cancel the Event in case of unforeseeable circumstances or force majeure.
In case of unforeseeable circumstances or force majeure, participants are not entitled to the refund of their payments.
If the Event cannot be held in Dubrovnik for any reason beyond the control of the Organizer or in case of force majeure, the Organizer reserves the right, upon notifying the participants, to change the location to a different city or country, or to organize the Event at another time.
The participants’ registration shall remain valid for the new time period indicated. Participants and/or Exhibitors shall not be entitled to cancel their participation, or to address additional requirements to the Organizer, or claim damages from the Organizer, in this case.

All registration fees must be paid not later than 10 days before the starting date of the Event.

  1. Exhibitor area

The Organizer shall offer to the interested Participants to choose among the standard or custom made exhibition units.

The standard exhibition units will be provided furnished and air-conditioned; they may be altered to a degree to adapt to the exhibitors’ requirements, taking into account technical requirements of the Event locality.

The exact location of the individual exhibition area shall be arranged between the Exhibitor and the Organizer according to space available at the locality.
The Organizer reserves the right at any time to alter the design, look or position of the stand allocated to a Co-Exhibitor if the changes intended improve the general quality of the relevant stand.

The final deadline for the request and payment as per agreement with the Organizer shall be before May 22nd, 2017. No requests can be accepted after this date.

The Exhibitor hereby accepts the responsibility to insure the Exhibitor’s equipment and products against damage, breakage, fire, break-in, theft, natural disaster or force majeure with a relevant insurance company; the cost of any damages made to the property which has not been so insured shall be borne by the Exhibitor.

The Exhibitor shall be obliged to observe fire precautions and maintain their exhibition and sales area at their own cost.

The Exhibitor must be present in their exhibition area during the business hours of the Event. After the completion of the Event, the Exhibitor shall leave to the Organizer the exhibition area, stand and equipment in good working order as was on the day the Exhibitor took over the equipment, and pay immediately for any damages that may have occurred.

The Exhibitor shall bear the costs of any adverse event which affect visitors or other exhibitors and which have been caused by their negligent, unsafe or inadequate actions or procedures when assembling or installing their equipment or exhibition items.

The Exhibitor may not sublet their exhbition area or any part thereof.

The Exhibitor may begin to assemble their exhibition area one day before the starting day of the Event market, and must remove all items and equipment by 7 PM on the June 15th, 2017.
The Organizer shall not be responsible for any items or equipment that may remain in the exhibition area after this time. In special circumstances, these deadlines may be changed to include more or less time, if necessary.

If important reasons justify a request to change the timetable set for assembling and setting up the exhibition area, the times may be changed after this has been agreed with the Organizer.

In case of violation of any of the above regulations, the Organizer shall be entitled to prohibit further participation at the Market. In this case, the Exhibitor shall bear any costs described in General Terms and Conditions, as well as any other costs incurred.

  1. Other opportunities

The Organizer and Participants shall make an agreement in writing on other opportunities available. The availability of other opportunities may be checked at the web site www.neweumarket.com under the tab Sponsorship Packages.

  1. The Fees

Registration fees are listed at the Registration tab.
The rates of exhibition area and other services shall be included in the Organizer’s Offer.

  1. Cancellation by the Exhibitor

When the Exhibitor applies to the Organizer with a request to withdraw their Registration not later than 30 days before the starting date of the Event and if the Organizer approves the request, the Participant and/or Exhibitor shall be billed for 50% of the agreed price.

Any cancellations within 30 days of the starting date of the  Event cannot be accepted by the Organizer, and the Participant and/or Exhibitor shall be billed for the full amount due for the reserved exhibition area and any service since provided.

  1. Special clauses

Any applications for market or other activities at the Event locality outside the space allocated to the Exhibitor (e. g. stand design or assembly, catering, sales, filming or recording, publicity events etc.) must be approved by the Organizer in writing.

Any advertising or publicity events organised at the locality of the Event must comply with the law of the Republic of Croatia.
Any activities which may interfere with other Participants shall be forbidden.

Participants are responsible to secure the rights to play music in ther exhibition area which is protected by copyright laws, and the Organizer shall bear no responsibility for any violations of this rule or any costs incurred in this way.

By registering, you agree to give permission to Mediavision to use content, products, services visuals and company pictures, photographs and/or logo for promotional purposes and for the online database (newsletter, news, website, booklet, presentation).

  1. Other information of technical nature

Any complaints must be addressed to the Organizer in writing as soon as possible after the Participants have taken over their allocated exhibition areas and not later than 4 hours before the opening of the Event.

Late complaints shall not be considered. Participants are responsible to remove all waste from their allocated exhibition areas to designated locations.
If this is not done by the time of dissembly of the exhibition areas on the last day of the Event, the Organizer will do this and bill the Exhibitor for the work done.

The Organizer bears no responsibility for any lost or damaged goods or items which are the property of Participants or Exhibitors.

  1. Wrongful business practices

All registered participants formally agree and undertake

– not to directly or indirectly drive away other attendees from any NEM area in order to present products and services that are otherwise in the range of NEM activities

– not to organize or engage during NEM in activities at the venue hotel or in Dubrovnik that are directly in competition with NEM without specific and written consent from the Organizers.

Any breach of abovementioned stipulations, observed by a member of the Organizing Team, incurs fines. The fines will be concurrent with NEM pricelist and correspond with the activity undertaken at the time of the breach.
